Creating an Alert

The performance dashboard is a centralized location where you can stay on top of your most important KPIs across multiple dashboards or manage your data and build alerts.

Here, you can create alerts to notify you when certain thresholds are met, or anomalies in your data are detected. The performance dashboard provides you with access to your most important data and notifies you when to take action. You can specify whether you receive Alerts via email, text, or notification. 

Creating Alert

When you set an alert on a Visualization Card, you are notified whenever specific metrics and conditions (which you specify) are met (a value going above or below a certain threshold).

You can access the Alerts tab to create an Alert in either of the following ways:

  1. Select Alert Me from the Visualization Card's dropdown menu located at the top right-hand side of the card.
  2. Select bell icon after opening the Visualization Card details view.
  3. After you have opened the alerts tab in the Details view, to create an alert click New Alert. You will be redirected to the New Alert window through which you can configure the required Alert.

Configure Alert Rule

Specify the Alert Conditions

The alerts rule is comprised of the following components:

Metric

The metric, representing what is being measured, can encompass a specific chart category, series, the current chart value, or the total of all chart items. It may also involve a calculated value applied to a particular category or series.

For instance, you can choose an average calculation for a specific category and configure the alert to activate when this average falls below a designated threshold.

Meets this condition

The performance dashboard offers various condition statements connecting a measure to a value or percentage, determining when your alert must be triggered.

For Example:

Threshold conditions: Is greater than, Is less than, Is equal to, between

Change conditions: Changes by, Increases by, Decreases by, Doesn't change

For this value

The numerical value or percentage used as the threshold in your Alert.

In the above example, the user has selected the Sum of the Onboarding as the metric, Decreases by (-) as the conditional statement, and has entered 2 as the numerical value. This Alert triggers when the "sum of the onboarding" decreases by 2.

Specify the Alert Frequency

You can specify how often the dashboard checks to see if the Alert is in a triggered state. To enable the alert frequency click on the arrow at the bottom right-hand side of the configuration and select the required frequency. 

Depending on your preference select the required frequency:

  • Every time the data updates: Xponent checks the alert whenever the data in the card is refreshed.
  • Hourly or Daily: You have the flexibility to include or exclude weekends in the evaluation. Additionally, for the "Daily" option, you can specify the time of day.
  • Weekly: You can designate the specific day of the week, along with the time of day.
  • Monthly: You have the choice to select a specific date or opt for the first/last day of the month, along with the time of day.

Customize Alert Message

Customizing the Notification message triggered by an Alert involves utilizing a range of macros that reference various variables associated with your Alert settings. These macros allow you to incorporate dynamic information such as the Alert name, Alert owner, previous or current values, and more.

On the left panel of the wizard, under "Message," you can preview the Notification message with variables substituted in for the macros.

To view the available macros, click the Metric button above the template. The list displays each macro along with the corresponding variable name in your Alert settings, ensuring you pull in accurate information.

After editing the custom message if you wish to revert it back to the default version, click on the RESTORE DEFAULT button located at the bottom left hand corner of the Alert message field.

  • To configure the action click Next.

Attach an Action

Alert Actions drive powerful action for your business by triggering events such as Webhook integration with third-party systems and Projects & Tasks integrations.

  1. Click ATTACH ACTION to open the list of action items.
  2. Choose the action type (Webhook, Task, or Workflow) to configure the action.

Webhook Actions

Attaching Webhook actions to Alerts enables triggering events in third-party systems when your Alert threshold is reached.

  • URL: Enter the required Webhook URL.
  • Method: Choose the preferred HTTP method from the Method menu (default is POST).
  • Secret (Optional): If authentication is needed, enter an authorization key in the Secret field.
  • Send Test (Optional): Perform a test of your configuration if required.
  • Click "Next" to proceed to the next step in the wizard.

Share the Alert

You can share Alerts with other users and/or groups. Assigned users receive Notifications every time that Alert triggers. You can also write a custom message to let users know what is happening and delete users and groups who should no longer be able to see the Alert.

You can delete users and groups only if you have an Admin, Default security profile or a Custom role with "Manage All Groups" enabled.

When you share Alerts with other users, they automatically get access to the Cards those alerts are tied to, even if they do not already have it.


Editing an Alert

To edit an existing alert configuration, follow the below sequence:

  1. Select Alert Me from the Visualization Card's dropdown menu located at the top right-hand side of the card.
  2. Also, you can select the bell icon after opening the Visualization Card details view.
  3. Select the required existing alert and it will open in a full window. Change the required criteria in the configuration.
  4. Click on the different type of alert channels to enable or disable it. For Example: SMS, Email, Notification or Call.
  5. Click on the calendar to change the alert frequency. For Example: Daily or Weekly.
  6. Click Save, to save the changes to the existing alert.
  7. Alternatively, you can choose "Save as a new alert" from the dropdown to create a new alert with the modified configuration.

Deleting an Alert

To delete an existing alert configuration, follow the below sequence:

  1. Select Alert Me from the Visualization Card's dropdown menu located at the top right-hand side of the card.
  2. Choose the required alert.
  3. Click on the delete icon located at the bottom right corner of the alert wizard.
